# Users and permissions

> Understand how user roles control access to lease records and system actions.

Tango uses role-based access control. What a user can see and do — which actions appear on the lease home, which tabs are editable, and which approval buttons are available — depends entirely on the roles assigned to their account.

## Key concepts

* **Roles** define what a user can view, create, edit, and approve within the system.
* **Dashboard contents** differ by user: some users see different icons and actions than others based on their role.
* **Approval workflows** require specific roles to be linked as internal contacts on each lease (for example, Lease Reviewer, Rent Approver).

## Setting up a new location

Locations are the foundation of all lease records. Create locations from the **Mapping** module before creating leases.

<Steps>
  <Step title="Open Mapping">
    From the functional dashboard, click the **Mapping** icon. The map opens in a new browser tab.
  </Step>

  <Step title="Search for the address">
    Enter the full address (including suite number if applicable) in the search bar and click the magnifying glass. Click the result to drop a pin on the map.
  </Step>

  <Step title="Create the location">
    Either right-click the pin and select **Create Entities → Locations**, or click the **Create Entities** action in the header and select **Locations**. Then click the pin when prompted.
  </Step>

  <Step title="Fill in the form">
    Enter the store/location name and number in the pop-up, then click **Submit**. An icon appears on the map marking the new location.
  </Step>

  <Step title="Complete the record">
    Click the map icon, then click the view arrow to open the full location record. Add any additional information (location type, contacts, etc.) and click **Save**.
  </Step>
</Steps>

## Configuring internal contacts for approvals

Before lease or payment approvals can be submitted, the appropriate approvers must be linked as internal contacts on each lease.

<Steps>
  <Step title="Open Contacts">
    In Lease Details, click **Contract Details → Contacts**.
  </Step>

  <Step title="Add an internal contact">
    In the **Internal Contacts** table, click **Add**. Select the role (for example, Lease Reviewer or Rent Approver), search for the user, and click **OK**.
  </Step>
</Steps>

<Info>If your company uses default contacts, they may already be linked automatically when a lease is created. Check with your Tango administrator for your company-specific configuration.</Info>
