# Space attributes

## What is a space attribute

Space attributes are pieces of metadata that are added to spaces (desks, meeting rooms, collaboration spaces) to enhance them with additional information. When combined with utilisation data, they can provide a deeper level of insights. Similar terms to attributes are *tags* or *labels*.

Some common examples of space attributes are:

* if a certain space belongs to a certain team (known as *neighbourhoods*)
* is assigned to someone (*flex* or *assigned*)
* describes the capabilities of the space (*standing desk* vs. *non-standing*).

## Space attributes in Locatee Analytics

The usage of space attributes is visible within the following areas of Locatee Analytics:

## Managing space attributes

Administrators can easily create and assign space attributes within Locatee Admin.

### Create a new space attribute

1. Go to **Admin → Settings → Space Attributes**
2. Click on **New Space Attribute**
3. Type in the **category name** (for example, *Business Unit*) and the **value** (for example, *Accounting*)
4. Click **Create**

### Assign a space attribute

Space attributes can be assigned to one or several spaces within the building.

1. Go to **Admin → Buildings →** select building → **Space Attributes Map**
2. Select the floor
3. Select the attribute type
4. Find the attribute you wish to assign and click the pencil icon:

5) Click on the spaces you wish to assign. **Tip:** to assign multiple spaces at once, hold down the *Shift* key and drag a rectangle around the area you want to assign to that attribute.

6. Click the tick sign to save your changes.

### Importing from a table

Locatee supports the import of space attributes in bulk via a prepared file (for example, an export from an external CAFM system) in Microsoft Excel or Google Sheets.

#### Sample

| Building | Floor | Space | Department | Zone |
| :- | :- | :- | :- | :- |
| Locatee HQ | 1st Floor | 1A-01 | Sales | A |
| Locatee HQ | 1st Floor | 1A-02 | Sales | A |
| Locatee HQ | 1st Floor | 1A-03 | Sales | A |
| Locatee HQ | 2nd Floor | 2B-01 | Marketing | B |
| Locatee HQ | 2nd Floor | 2B-02 | Marketing | B |
| Locatee HQ | 2nd Floor | 2B-03 | Marketing | B |

#### File preparation

1. Make sure no quick filters are set (i.e. all rows are shown, and the row numbers are black, not blue)
2. If the file contains formulas (e.g. to calculate a space attribute based on the label of the attribute, or to calculate the space labels based on some combination of building/floor columns):
   1. Select all cells (Press Ctrl-A twice in Excel)
   2. Copy the entire selection (Ctrl-C)
   3. Select Paste, and then Paste Values. This gets rid of all formulas and replaces it with their evaluated results.
3. Set the file to the following structure (example above):
   1. **Column A:** The header of this column does not matter. The content must contain building code (exact building code as configured in Locatee Analytics).
   2. **Column B:** The header of this column does not matter. The content must contain floor name (exact name as configured in Locatee Analytics).
   3. \*\*Column C:\*\*The header of this column does not matter. The content must contain space labels (exact labels as configured in Locatee Analytics).
   4. **Column D:** The header is the Space Attribute Type. The contents are the Space Attribute Values.
   5. Columns E, F, etc. can contain more attributes. The header is always the Space Attribute Type, and the contents are always Space Attribute Values (or empty).
4. Save the file as a tab-delimited file:
   1. File → Save As
   2. Select Format "Text (Tab delimited) (\*.txt)".
   3. Set the encoding to UTF-8.

#### File upload

1. Go to **Admin > Buildings > Spaces**
2. Click **Import Space Attributes**.
3. Fill in the required fields:
   1. **Select File:** select the tab-delimited file created above.
   2. **Effective date:** set to **tomorrow**
   3. **Skip missing spaces:** spaces from the file which do not exist in Locatee will be skipped.
   4. **Skip empty attribute values:** assignments with no value of a specific type will be ignored.
   5. **Create space attributes on demand:** enable if the import file contains new attributes. **Important:** check the column header, for example if one column header contains a typo (e.g. *Workplace Tpye* instead of *Workplace Type*), the importer would re-create all attribute values with this incorrect type name.
   6. **Replace previous attributes:** replace the attributes of the same type. "Replace" means that the previous attribute will be valid until Effective Date, and from then on the new attribute is valid. Requires an effective date to be set.
4. Click **Upload**
5. Go to the **Space Attributes Map** and double-check the imported attributes.

## Guidelines

The accuracy of Locatee Analytics data is highly dependent on correctly set up attributes. Follow the guidelines below for optimal results.

* Aim for **contiguous areas**, keeping attributes of the same value as close together as possible:

- Assign an attribute to at least **10 spaces or more**:
