New leases are created using the lease setup wizard from the lease home. The wizard walks you through six steps: basic info, critical dates, recurring costs, clauses, contacts, and documents.

Before you begin

A lease must be associated with an existing location. Create the location first if it does not already exist (see Location Setup in the admin guides).
1

Open the Create New Lease wizard

From the lease home, click Create New Lease.
2

Step 1 — Basic information

  • Select Real Estate or Non-Real Estate (this controls which additional fields appear)
  • Enter the Location by typing the name or using the search icon
  • Fill in remaining required fields (marked with an asterisk) including lease name, lease type, and status
  • Click Next
3

Step 2 — Critical dates and options

  • Enter the Possession Date, Execution Date, and Initial Term Begin / End Dates
  • Under Options, enter the number of renewals, option length, and notice period. The system auto-generates option records.
  • Check boxes for Purchase Option, Expansion Option, or Termination Option if applicable
  • Click Next
4

Step 3 — Recurring costs

  • Enter minimum rent: rent begins date, amount type, period amount, and payment timing
  • Add up to three additional expense types (operating expenses, RE Taxes, etc.). Additional costs beyond three are added directly in Lease Details after setup.
  • Click Next
5

Step 4 — Clauses

  • Review the list of standard clauses and check Include for any that apply to this lease
  • Check Standard Language if your company uses pre-approved language; otherwise paste the clause text into the Comments box
  • Click Next
6

Step 5 — Contacts

  • Add external contacts (landlords, property managers): search for the company, select the related contact, choose a role, and click Link Company/Contact
  • Add internal contacts (lease approver, rent approver): click Add in the Internal Contacts table, choose a role, search for the user by name, and click OK
  • Click Next
7

Step 6 — Documents

  • Click a folder (for example, Legal Documents), then click New to upload a file or New (External) to link a URL
  • Optionally send a notification to internal contacts when uploading
  • Click Save as Draft to complete the setup
The new lease is saved in Draft status. Submit it for approval from the Basic Info tab when it is ready for review.
The lease home has two main areas: the Actions panel on the left and the Lease Search on the right. The search defaults to active leases. Use the status dropdown to include draft, expired, or other statuses. From the search results, open Lease Details or Lease Financials using the action buttons in the row or the header actions.
