Use the Upcoming Expirations action to monitor leases nearing their end date and take appropriate action — whether exercising a renewal, negotiating a new term, or allowing the lease to expire.

View upcoming expirations

1

Open Upcoming Expirations

From the lease home, click Upcoming Expirations. The report defaults to leases with a current term end date within the next 90 days.
2

Adjust the date range

Change the Expiring To date to extend the look-ahead window, then click Search.
3

Review the list

The table shows each expiring lease with its expiration date, lease number, lease name, and Remaining Renewals — the count of available renewal options.
4

Search for a specific lease

Type in the first blank row of the lease name or number column and press Enter.
Prefix your search with % for partial matches.
5

Export the list

Click Export to download the expiration list to Excel for review or distribution.
6

Open the lease

Click the lease name hyperlink to open Lease Details in a new tab. Navigate to Options and Terms to review available renewal options and notice dates.

Process a termination

When a lease will not be renewed:
  1. Update the Current Term End Date on Basic Info to reflect the actual termination date.
  2. End-date or inactivate all recurring costs effective as of the termination date.
  3. Change the Lease Status to Inactive or Terminated as appropriate for your company’s workflow.
  4. Create a Change History record documenting the termination.
  5. Ensure any final payments (security deposit return, reconciliation settlement) are recorded in Lease Financials.
A lease drops off the Upcoming Expirations report once it has been extended or inactivated.
