Batch rent lets you group lease payments or billings and submit them for approval in bulk. This process works for both generated recurring payments and one-time payments.

Create a batch

1

Open Batch Rent

From the lease home, click Batch Rent.
2

Create a new batch

Click New. Select whether the batch covers Accounts Payable or Accounts Receivable.
3

Set batch parameters

  • Applies From / Applies To — payments whose effective date falls within this range are eligible for inclusion
  • Lease Financials Group — Real Estate or Non-Real Estate
  • Batch Number — an optional description (the system generates a unique batch ID automatically)
4

Create the batch

Click Create. The system populates the Manage Batch tab with all eligible payments.
5

Select payments to include

Check the Include box next to each payment to include. Use Include/Exclude for bulk selection options:
  • Select All / Deselect All
  • Select All Same as Last Month — auto-checks payments where the amount matches the prior month
  • Select with Threshold — includes only payments below a specified dollar amount
6

Save and submit

Click Save to preserve your selections. Then click Submit to send the batch for approval.
You cannot submit a batch until it has been saved first. Once submitted, the batch and its invoices become read-only until approved or rejected.
Use the Export button to download batch details to Excel for review before submitting.

Approve or reject a batch

1

Open the pending batch

From the lease home, click Batch Rent and select a batch with status Pending Approval from the list.
2

Review batch details

Click the Manage Batch tab to review the payments included.
3

Take action

  • Approve — sets the status to Approved; the batch becomes a view-only record
  • Reject — returns the status to Draft so modifications can be made before resubmitting
  • Delegate — assigns the approval to another authorized user
Only the designated batch approver can approve or reject a batch. Add comments when rejecting so the submitter knows what to correct.
4

Review workflow history

All actions taken on the batch are captured in the Workflow tab.
If batch edits are needed after submission, a user with sufficient rights can select Terminate Workflow to revert the batch to Draft status.
